Unidesk is a product of Unidesk, based in Bengaluru, India. The laws that govern these terms depend on how you bought Unidesk, and they are set out in section 18 of our Terms and Conditions. To report a legal or security issue, contact support@unidesk.app.
The short version
- You record your own meetings. You own the recording and all notes you write.
- Unidesk does not tell anyone you are recording. Before you record, tell everyone on the call and get their agreement. If anyone says no, do not record.
- Do not use Unidesk to record anyone secretly, break the law, harass anyone, infringe their rights, or reverse-engineer the product.
- Transcripts, summaries and dictation may be wrong. Verify them before acting on them. Do not treat them as legal, medical, or financial advice.
- Cloud features (cloud transcription, cloud summaries) depend on third-party services. We back them up with reasonable effort, not a guarantee.
1. What these terms cover
These terms govern your use of the Unidesk app (for macOS and Windows) and the website unidesk.app. They do not cover commercial terms, billing, refunds, or liability. Read the Terms and Conditions at /terms-and-conditions for those. They do not cover how we collect and use data. Read the Privacy Policy at /privacy for that. These terms, the Terms and Conditions, and the Privacy Policy together form the whole agreement between you and us.
2. Eligibility
You must be 18 or older, or the age of majority in your place, to use Unidesk. You must have the legal capacity to use the product. You must not be barred by law from using software or cloud services. If you do not meet these requirements, do not use Unidesk.
3. Acceptable use and recording consent
This is the most important section. It sets out what you can use Unidesk for, how to get consent before you record anyone, and what you must never do.
What you can do
- Record, transcribe and summarise meetings and calls you take part in, once everyone on the call has agreed to be recorded (see "Recording consent" below).
- Record your own voice, and audio you have the right to record, such as your own talks, lectures you have permission to record, or your own media.
- Dictate into any app on your computer. Dictation records only your own voice.
- Keep notes, tasks, whiteboards and time logs for your own work, including your own freelance or consulting work.
- Share recordings, transcripts and summaries with the people who were on the call, or with others when everyone recorded has agreed and the law allows it.
- Sign in with your own account on every computer you own or control.
Recording consent
Unidesk records audio only on your own computer. It does not join calls, and it does not tell anyone on the call that you are recording. Getting consent is your responsibility, every time. Some places, including some US states, require everyone on a call to agree before it is recorded, so check the rules that apply to everyone on the call before you start.
Before you press record:
- Tell everyone on the call that you are recording, and what the recording is for: a transcript, a summary, or notes.
- Get their agreement. Ask out loud at the start of the call, or in writing beforehand, for example in the meeting invite. Agreement must be clear; silence is not enough.
- If someone joins after you start, tell them too, and get their agreement before you carry on recording.
While and after you record:
- If anyone says no, or changes their mind, stop recording.
- If someone recorded asks you to delete their part of a recording, transcript or summary, delete it, unless the law requires you to keep it.
- Keep recordings only as long as you need them, and share them only with people who have a right to see them.
Take extra care with:
- Confidential calls. Medical, legal, financial, HR and other confidential calls need clear permission from everyone involved, and may be covered by professional or contract rules.
- Work calls. If you are an employer or manager, tell employees in advance and in writing, and follow your workplace policy and the law on monitoring staff.
- People in other places. You must follow the laws of India and of any place where someone on the call is located. If you are not sure what the law requires, get everyone's clear agreement before you record. That is always acceptable.
Unidesk does not make recording lawful. Using Unidesk does not change the laws that apply to you, and you are solely responsible for knowing and following them.
What you must not do
Do not use Unidesk to:
- Record anyone secretly, without their agreement, or after they have said no.
- Record or monitor anyone without the consent the law requires.
- Record in a courtroom or legal proceeding, or anywhere recording is banned, unless you have permission.
- Record children without the consent of a parent or guardian.
- Publish or share a recording, transcript or summary without the agreement of the people in it, or use one to harass, blackmail, defame or embarrass anyone.
- Harass, stalk, threaten, or abuse anyone.
- Infringe anyone's copyright, trademark, patent, trade secret, or other intellectual property right.
- Upload, distribute, or link to malware, spyware, or any software designed to harm.
- Reverse-engineer, decompile, or circumvent any part of Unidesk, the cloud service, paid plans, or quota limits.
- Use cloud features in an automated, bulk, or excessive way that impairs the service for others.
- Resell Unidesk, license it to others, or sell transcription or meeting-note services to others using it, without our permission.
- Share your account, or use several accounts to get around limits.
- Pretend to be someone you are not.
- Scrape, crawl, or automatically copy content from unidesk.app without permission.
If you break these rules, we may suspend or end your access (see section 12).
4. Your content and responsibility
You own all recordings, transcripts, notes, tasks, and files you create in Unidesk. You are solely responsible for the content you record, and the words you dictate. Your content is stored on your computer, not on our servers, so keep backups of any data that matters to you. Unidesk's deletion tools remove data from your computer, and we cannot recover it afterward.
If you connect an AI app to Unidesk through MCP (Settings → MCP Settings), you choose which apps connect and what they may read, and you are responsible for the changes you approve or allow them to make.
5. AI output
Unidesk uses artificial intelligence to transcribe audio, generate summaries, and power dictation, either on your device or in the cloud. AI is not perfect.
- Transcripts may miss words, mishear words, or misattribute them to the wrong speaker.
- Summaries may be incomplete, wrong, or fail to capture the most important points. They may misquote or misattribute statements.
- Dictation may produce words you did not say.
Always verify AI output before you act on it. Do not rely on Unidesk summaries or transcripts for legal, medical, financial, or safety-critical decisions.
6. Accounts and security
You sign in with your email address and a one-time code. Keep your email account secure. Do not share your one-time code with anyone else. If someone gains access to your one-time code, they can sign in as you.
One account is for one person. Do not share an account with others or use multiple accounts to circumvent the rules or limits.
If you believe your account has been compromised, stop using Unidesk and email support@unidesk.app immediately.
7. Cloud features and third parties
Cloud transcription and cloud summaries rely on third-party services. Transcription and summaries are sent through our cloud service to AI model providers. The Privacy Policy lists these providers and what each one receives. On-device transcription, summaries and dictation do not use these services. These services have their own terms of service. Using Unidesk's cloud features means you also agree to their terms. We choose our providers carefully, but we do not control them and we are not responsible for their failures, downtime, or changes to their service.
AI apps you connect through MCP, such as Claude, Codex, Cursor, Gemini CLI, VS Code or Kiro, are third-party software that you choose. Unidesk passes them the items they ask for on your computer. What they do with that data, including sending it to their own AI services, is governed by their terms, not ours. We are not responsible for how a connected AI app uses data you let it read, or for its output.
8. Website use
Unidesk.app is informational. We may change the website, add or remove pages, or alter the information on it at any time. The website uses Google Analytics cookies only if you accept them on the cookie banner; see the Privacy Policy. It uses no advertising trackers. You are free to browse it.
The Unidesk app is available for download from unidesk.app and our download host, dl.unidesk.app. Verify the source before installing. Installing software from unofficial sources is at your own risk.
9. Intellectual property notices
Unidesk, the Unidesk logo, and the Unidesk name are trademarks of Unidesk. You do not have the right to use these without permission.
You can record calls made in apps such as Zoom, Google Meet, Microsoft Teams, Webex, Discord, Slack, FaceTime, and Loom, because Unidesk records your computer's audio. These names and logos are trademarks of their owners. We use them only to describe what you can record. We do not own, operate, or endorse these services.
Other trademarks and logos belong to their owners.
10. Feedback
If you send us ideas, suggestions, or feedback about Unidesk, you give us the right to use them without payment or credit. We do not promise to act on your ideas.
11. Responsible security disclosure
If you discover a security vulnerability in Unidesk, please email support@unidesk.app. Include a clear description of the issue and, if possible, steps to reproduce it. Do not share the vulnerability publicly until we have had reasonable time to investigate and fix it.
We will not pursue legal action against researchers who act in good faith and follow these guidelines.
12. Suspension and enforcement
If you violate these terms, we may suspend your cloud features or your account, depending on the severity. Suspension of cloud features or your account does not affect the data on your computer. You can still access your local recordings, notes, and files. If you believe a suspension is a mistake, contact support@unidesk.app.
13. Disclaimers and liability
THIS SOFTWARE IS PROVIDED AS IS. TO THE FULLEST EXTENT PERMITTED BY LAW, UNIDESK DISCLAIMS ALL WARRANTIES, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. See the Terms and Conditions at /terms-and-conditions for complete disclaimers and liability limits.
14. Changes to these terms
We may update these terms at any time. We will post the updated version with a new "Last updated" date. Your continued use of Unidesk means you accept the updated terms. If the changes are material, we will notify you by email or by posting a notice on the website.
